Payment plans

Payment Plans provide club members with the flexibility to pay an invoice over time. The amount and frequency of payments can be managed by a club administrator and the member will receive scheduled reminder notifications when an instalment is required. 

Payment plans can be set up for invoices already generated in the system, or at the time that you issue an invoice. Both processes will be covered below

Set up a payment plan for a current invoice

 Click on FINANCE
  
 Click on PAYMENT PLANS 

Enter the invoice number that requires a payment plan 

The system will locate the invoice so you can set up your payment plan options: 

Adjust the Payment plan details in to: 
      Number of instalments
      Frequency of payment

Adjust the Notification Options
      Send the first instalment: This will send an instalment payment notification immediately 
      Include additional member email addresses: this will send a notification to any additional email address stored on the member profile

 

Set up a payment plan when creating a new invoice

You can choose to set up a payment plan when you first generate a member invoice

 Click on MEMBERS

 Click on SEARCH to locate the member who requires a payment plan

 Click on VIEW to open the member profile

 Click on INVOICE MEMBER to begin to generate an invoice

Under the Set up payment plan section, select the number of instalments required

 Click GENERATE INVOICE

 

To manage an invoice with a payment plan set up

 Click on FINANCE 

 Click on PAYMENT PLANS 

All invoices with a payment plan will show in a list

 Click on MANAGE 

From here you can:
    Reconcile the invoice in full
    Remove the payment plan
    Reconcile an instalment manually

 

Consideration should be given as to how a member can request a payment plan

Add a request to your online registration form

You can add the following questions to your online registration form:
     Do you want a payment plan? Y/N
     Frequency of payments – drop down with weekly, fortnightly or monthly
     Number of repayments – 2,3,4,5,6 etc

 NOTE: If mandatory online payment is set up for your membership registration form, any members that require a payment plan will need to contact your club via email or phone to request a payment plan. 

Contact the club

If your club wants to continue to enforce mandatory online payments, members can request payment plans by contacting the club via email or phone.
