Moving Participants Between Courses

In running courses at your centre, you may have occasions in which you will need to move a participant to another course. Examples include, a participant being sick and unable to attend, or a cenrte needing to cancel a course.

HOW TO: Move Course Participants between events

Step 1: Open the event where the participant is registered

Step 2: To the right of the participants name, click on ADVANCED OPTIONS (represented by the 3 dot icon, see below)

Step 3: Click EDIT

Step 4: Click on the OPTIONS drop down menu in the top right corner

Step 5: Click TRANSFER ATTENDEE

Step 6: Select the DESTINATION EVENT from the drop down list

Step 7: Click the MOVE ATTENDEE button

Considerations

In using this function, there are some considerations to take into account, please ensure that you are familiar with the points below

Functionality is only available in new look events

This functionality is only available in events linked to a course template

Transferring a participant INTO a course will ignore the maximum number of attendees in the event set up. Administrators need to be aware that you can overbook the course.

You can only transfer participants between courses with the same national course participant fee ie: Little Tackers has a $0 national course participant fee whereas Tackers has a $20 national course participant fee, you cannot transfer a participant from a Little Tackers course to a Tackers course or vice versa.

You cannot transfer an unpaid participant. In this case we would advise registering this participant in their new destination event and delete from the origin event.

You can move a participant whether or not funds have been transferred.

Funds will remain in the event where the participant first made payment. Funds do not transfer to the destination event.

If you are to move all participants from a course (for example due to weather) and delete your original event, any funds related to this event will display in reporting as “unknown” in the description. Therefore we advise clubs to not delete events and instead change the event dates.
