Managing SailPass

Now that many clubs have taken on the SailPass functionality, we would like to highlight some different ideas surrounding the ongoing management and administration of SailPass.

Set up and promotion

Website

The SailPass site page is the first point of contact a temporary member may have with your club.

To ensure the member’s user journey is smooth, it is a great idea to add the below to your SailPass site page:

• Descriptions of the membership categories on offer
• A button for members who do not have an AS Number
• A button for members who have forgotten their AS Number

Make use of the ability to hide a SailPass from public registration

You can now create a SailPass payment class that does not display on your public SailPass registration form. This provides you with the option to share the registration link for a specific SailPass with a targeted group. 

Example 1: A SailPass is set up for a boat, and the registration link is shared with the skipper who can then, share the registration link with anyone on his boat. This link will not appear on your SailPass page for anyone to select. 

Example 2: A corporate group or function. You can set up a hidden SailPass for a corporate group and share the registration link with each person attending the event to register. This link will not appear on your SailPass page for anyone to select.

QR Codes

Some clubs are successfully using QR codes on promotional material in order to direct potential members to the SailPass online registration. Anyone with a phone or device can scan the QR code and be sent straight to your registration form.

QR codes are simple to set up, direct users to your registration form and many QR code generators are free! Google QR Code Generator to find a service that suits you!

 

…on the day

Clubs are managing SailPass in different ways when it comes to getting SailPass holders on the water

 

AS Number Checker

You can use the Australian Sailing number checker to check validity of a SailPass Holder.

Search for a name and make sure you click on the INFO button to check validity.

 

Via Club Portal

Login to your club portal and navigate to the Temporary Members list, add in your date filters and view the list of registered SailPass holders for that day

 

Reporting

You can run a simple report from within your Temporary Members menu and print this out for anyone who is managing your event on the day.

Cancelling an event

If your club event has to be cancelled and you wish to transfer your SailPass holders to another date, you MUST do this on (or before) the day. Once a date has passed, a SailPass holder cannot be moved to another day.
